This thread is to help SRC event volunteers stay organized.
I want to post this now, so that I don't forget as things get busy closer to the big day.
If you can think of other tips, please reply and let us know, thanks!
* On the day of the big event (April 25th), please join the channel BACKSTAGE. We will use this channel to coordinate, especially when we're not in a Raid together.
* Remember our policy about trolls – please don’t feed them!
* If you are acting as a Vendor, please wear something yellow. It’s traditional and the audience will have an easier time finding you. You don’t need to ask to be a vendor – if you want to show up and vend, you are very welcome.
* If you are a “barrel hobbit” for the rodeo, please wear bright orange. A tall, pointy hat (like a safety cone) is especially appropriate.
* If you are launching fireworks for the Formation Riding Team, wear green pants and a white top. If you have time before the big day, please get a copy of the team uniform to wear.
* If you are a pony rider in the Post Parade, please ride a very plain horse and wear a simple outfit. Black pants, a light-colored shirt, boots, and no back/head gear would be especially nice. You could ride a war steed with minimal tack or a standard horse with very little tack, such as the Liver Chestnut, Dark Chestnut, Eglan, Esteldin, or 3 starter steeds. This will help draw audience attention to the racing rider.
* Please DO NOT LAUNCH FIREWORKS OR USE THE DRUM during a race or riding team demonstration. Wait until it is over. We don’t want to cause lag for the riders.
* We can use all the race course judges we can get. If you’d like to help with this, here are some tips:
--- Set your graphics options to LOW, then turn up your Object Draw Distance to see the riders coming.
--- Adjust your overhead name display to include only the character's name; not their surname, title, rank, etc. This will help it be clear in screenshots.
--- Remember that the lead rider may be WAY ahead of all other riders. Take screenshots of everyone who passes your checkpoint, even if they might be a member of the audience. We can sort them out by name later on.
--- Test your ability to take screenshots before the race begins, especially if you are using an external program such as FRAPS.
--- DO NOT TALK ABOUT RACE RESULTS AND SCREENSHOTS IN THE RAID CHAT. We don't want to get into a debate with the riders. Please use the Backstage channel or /tell.
* Volunteers can participate, too. Don't be afraid to help out at one event and compete in another.

I'd add: PLEASE DO NOT LAUNCH FIREWORKS OR USE ENCORE-DRUMS *DURING* THE FORMATION RIDING PERFORMANCE. Lag = bad.
Also, since I am both a formation rider and a pre-race pony rider, and the outfits sound very similar except for the pants, I will plan to use the formation team outfit for the pony-ride.

Here is some more information for pony riders:
* I have sent in-game mail to all the people invited to race (so far), asking them to show up at 3:50pm.
* The Post Parade starts at 4:00pm EDT, half an hour before the race.
* We will gather all the riders, both racers and ponies, off on the east side of Field #2. That's "backstage".
* Once we're ready, we will introduce each racer. The pony rider will lead the racer onto the field through the east side, north gate at a walk, go past the audience at the grass line, make 3 full loops of the field counter-clockwise, then exit through the east side, south gate to return backstage. (The grass line is where grass meets dirt near the wall inside the walled field.)
* While we're introducing racers, I'll try to say a little something about them and their racing history.
* Once all the riders have had a turn in front of the audience, we'll let them all loose in the field to trot around and "warm up". Let's get them all moving counter-clockwise around the field. They're welcome to stop in the middle for occasional emotes (IE: /mountrearup) and such.
* While the warm up is going on, the bookie should take wagers on who will win.
